Frustrated (long)

Hello Ladies! I really haven't been around lately like I used to be, I'm sorry I know it breaks everyone's hearts. So I've been trying to train a new front desk girl. I don't know what to do. She seemed okay in the interview, and she was one of the people I picked to go on. I got a wonderful reference from her old work (at a peds office). HR gave her all the tests etc and hired her. Well She started 2 months ago. I know the front desk isn't the easiest thing to learn here ( our computer system makes everything so difficult not to mention the doctors schedules are never the same each week, plus the 14 tests we do here). Well I've been sitting with her when I can and so is the other front desk girl. We both came to the conclusion she just isn't getting it.

I put together a huge training manual. It is literally everything you need to know and how to do it. I even showed Kevin it and had him use it to schedule appointment when I signed in from home and he got it (he's not even in healthcare!) She told me she doesn't like the way it is layed out and she likes things in her own words. I said ok, but she never uses the training guide. She will understand one thing, and then 1 hour later say she was never taught it.

One of the things is that she works 4 jobs. If I would have known that she wouldn't have been hired but she had NOTHING about it on her resume. I think it's just too much for her and when she gets here she is burnt out from there. I have talked to her about it and one of the jobs is done tomorrow and she will then be to one full time and the other 2 on the weekends. I have talked to HR and they basically told me tough shiit. I'm so upset It's like everything I have ever tried to teach her, all my hard work just went through the window. I am losing patience.

I'm sorry that I'm just venting, and maybe getting some advice.

  • that's so annoying and i can sympathize completely. i am always the one to sit with all the girls and train them only to find out that they can't multi-task, don't get it, or just plain stupid. 

    i am lucky enough to be able to let them go once i realize it but it's still so damn annoying when you know it's such a waste of time.

    Is this cat lady too?  Honestly do you guys have the ability to do some sort of training plan?  Where she has to master and/or do certain things in a time period?

    I can't imagine working 4 jobs.  That would burn me out too.

  • How frustrating.  I hope you can find a way to either get her where she needs to be work-wise or get rid of her.  Good luck.

  • I feel your pain, really. The lady I had to train to do my job interviewed really well, and seemed great on paper, well she is horrible. When I visited work before Christmas they asked when I was coming back because it just wasn't working out without me.

    My suggestion, sit down with her again and ask her to start writing down quick reference notes in the manual in her own words. If that doesn't work and she just isn't getting the hang of it, I don't know what you can do. I do agree with Shelley, if she isn't going to get it after a few months of training she needs to go.

  • Who is her actual direct supervisor? That person needs to have a frank talk with her that she's not meeting expectations.

    (As an HR person) I don't know how HR's response can be "tough shiit". What we would do is have a meeting with the person letting them know specifically (in writing) how they're not meeting expectations, outlining exactly what they need to do to improve, and give them a timeframe (60-90 days) to improve or other actions (up to termination) could be taken (signatures on this written document to acknowledge receipt).

    Is HR's concern that she's only been there 2 months and they think she should be given more time? I just don't understand their response at all.

  • Yeah I have great HR people. My whole work is all messed up. We were an independent office, then we became part of the medical group only to be on their computer system and we have another year and a half left and then we go independent. In the meantime, we because we aren't permanent aren't on a priority list for them. It took me over 6 months for them to hire a front desk person. 

    I am her direct supervisor. I have talked to her and told her basically she isn't meeting expectations. She hasn't changed, however I can not fire her as that is the hospital's rules and HR would have to do that. I would have to file a motion for that to be done-- which I did, and they said my reasons basically isn't a reason to fire someone who has been there for 2 months. I already have written her up TWICE for being on personal phone calls. The next would be suspension, which may happen if I catch her on the phone. HR tells me that because she has been there for 2 months, and still has alot to learn basically to give it time. I have told them she isn't even getting the basics. It's a whole mess really. Next week I'm going to work up front and she will watch me on Monday and Tuesday and then we will switch where she will be working and I will be watching her, and then I'm gone for 2 weeks. When I am gone if she hasn't improved then I'm going above to whoever I have to. It seriously seems annoying. I haven't figured out of she just doesn't care, or is just not understanding. We all were there at some point, but usually after a week you should be able to schedule a simple (literally) nurse visit. She still has problems logging into the computer.

    If we were still independent she would have been gone a long time ago. I hate hospital rules etc. This isn't the first time I've had this kind of problem.

    And yes she takes notes. You should see them. They are all over the place and frankly I can't even read them. I have read PLENTY of doctors handwriting and this chick is 10 times worse!
